What is the proper procedure for archiving WinSPC data?

Most commonly, data is archived from a WinSPC database to free up space for more data to be collected or to improve database performance. Sometimes data is archived simply to have a copy of it. Regardless of the reason, this procedure details the proper procedure for archiving WinSPC data.
  1. In the Administrator window, from the File menu, click Archive.

    This causes the Archive Book Selector to be displayed. In WinSPC, archives are facilitated through archive books. An archive book is basically a statement or specification of the data to be archived.

  3. Click the New Archive button. An icon and text box for a new archive book are displayed.

  5. Name the new archive book by overwriting the existing text with the desired name and pressing Enter.

  7. Click the Edit button. This causes the Archive Query Builder to be displayed.

  9. In the Archive Query Builder, click the Browse button to the right of the Destination Database text box.

  10. In the Directory Selection prompt that appears, navigate to and double-click the directory (folder) in which you’d like the archive database created.

    The Directory Selection prompt closes and the Archive Query Builder reappears with the selected path populated into the Destination Database text box.

  12. If you don't want the data you are archiving to be deleted from WinSPC, leave the Delete Data check box unchecked. This results in your archive essentially being a copy of WinSPC data. If you want the data deleted from WinSPC--which will be the case when you are trying to improve database performance or free up database space--check the Delete Data check box.

  14. Specify the items for which you want to archive data. By item is meant part folder (including the root Parts/Processes folder), part, variable, attribute, short run process folder (including the root Short Run Processes folder), or short run process. To do this:

    1. In the middle left pane, expand the Parts/Processes branch and the items within it until a part, variable or attribute for which you want to archive data is displayed in the middle right pane.

    2. Click-and-drag the item from the middle right pane to the Item Name pane below it.

    3. Repeat the above two substeps as desired for other items within Parts/Processes.
    4. Repeat the above three substeps as desired for Short Run Processes items.
  15. Define an archive date range for each item specified in the preceding step. To do this:

    1. Double-click the first item in the Item Name pane.

    2. In the Archive Book Item Settings prompt that appears, under Date Range, at Type, select the type of date range you’d like to use and supply the specifics that define your range.

    4. Click OK. The Archive Book Item Settings dialog box closes and the Archive Query Builder is displayed again.
    5. Repeat the preceding 3 substeps for all other items in the Item Name pane.  
  16. Click OK in the Archive Query Builder
  17. If an archive book of the same name already exists in the location specified in step 6, a warning message appears stating: "Archive already exists. Do you wish to overwrite it?" In this message, click Overwrite to overwrite the file or Append if you wish to append the new archive data to the existing archive book.
  18. With the archive book highlighted, click the Archive button. The archive operation is executed.
A Note on Using Archived Data in Queries and Reports

Archived data can both be queried and reported on. All that is required to do this is to select Archive as the Source Database option in the Query Builder or Report Builder and specify the location of the archived database.
